Clearsynth stores and processes data only as agreed by the client or as required in order to perform services requested by the client. We regard all such details as confidential.

We do not engage in any profiling activities.

We never share data with third parties for advertising, marketing, data analysis, or similar purposes.

General Information and Scope of Data Storage

We retain and process only the data required for service delivery, support, accounting, technical maintenance, security, and related operational needs.

All such information is treated as confidential and handled in accordance with applicable legal and regulatory obligations.

How We Obtain Data

Data we retain will consist solely of information that you provide to us, such as contact details entered on forms or shared through correspondence, or information obtained through routine interaction with our website, such as your IP address.

This is done so that we may contact you when needed, including to send invoices, analytical data you have requested, and information affecting your account or our sales and service agreements.

Types of Information We May Retain

Payment Information

We may retain information purely for accounting purposes, including account balances, customer payment enquiries, or investigation by tax authorities where mandatory accounting requirements apply.

That data may or may not include:

  • Payee name
  • Billing contact details, if applicable
  • Credit or bank card type, for card payments only
  • Last 4 digits of payment card, for card payments only
  • Date and amount of any payments received

  • Enquiries we have received from you via email, web-form, or mail
  • Your IP address, for security reasons and to help investigate technical problems if you experience a fault while using our site

Retention Policy

We retain personal data that you voluntarily supply for as long as your account is active, and for as long as we are legally required to do so by tax and accounting regulations and similar obligations.

Older data may exist on backup media; however, backup files are regularly disposed of when they are expired or replaced.

General enquiries received via web-form, email, or mail are generally kept for a number of years so that we can refer back to them later. After that, the data is deleted.

At scheduled times throughout the year, older enquiries are removed depending on their age and the account status of the client.

Correspondence Retention Periods

The number of years correspondence is stored depends on the type of enquiry and the manner in which it was submitted.

  • Any correspondence that may potentially relate to a financial transaction, currently in-process registration, or client account is treated the same as tax records. Since tax records are legally required to be stored for a minimum of six years, such correspondence is deleted after seven years.
  • All other correspondence is deleted after two years.
